Carradale Futures’ SOPHIA platform empowers organisations to create, manage, and scale their governance documentation through a centralised cloud-based system. Initially built for healthcare providers, SOPHIA is now being adopted across sectors where compliance, accuracy, and operational clarity are critical.

Fat Fish Digital partnered with Carradale Futures to integrate AI into SOPHIA, streamlining how standard operating procedures (SOPs) are created and improved. Our AI module simplifies a typically manual process, enabling faster, smarter, and more accurate SOP development at scale.

The Challenge

SOPHIA already offered a robust platform for SOP management, but creating SOPs remained a manual and time-intensive task. Carradale needed an intelligent solution that could:

• Automatically generate SOPs from raw documentation
• Prompt users for clarifications when necessary
• Suggest improvements or additional steps for SOPs
• Integrate seamlessly into SOPHIA’s Azure-based ecosystem

Our mission: transform SOP generation from a laborious task into an intelligent, semi-automated workflow — without compromising accuracy or domain-specific expertise.

Our Solution

We approached the project in two focused phases, using a modular, test-driven development strategy to iterate quickly and minimise up-front risk.

Phase 1: Building the AI Module

We created a secure test portal allowing Carradale teams to upload documents — anything from onboarding manuals to clinical pathways. This portal authenticated users and interfaced with a newly developed AI module hosted on Azure.

The AI system analysed input documents and returned:

• A first-draft SOP
• A list of improvement suggestions or clarification questions
• A finalised SOP once all gaps were addressed

Phase 2: Seamless SOPHIA Integration

With the AI module tested and refined, we began embedding it directly into the SOPHIA platform. Now, users can upload a document, review suggested changes, and produce final SOPs - all within SOPHIA. Behind the scenes, our documented APIs ensure smooth communication between the AI engine and SOPHIA’s existing architecture.

The Result

Carradale now has an integrated, AI-powered capability within SOPHIA that transforms documents into structured, high-quality SOPs in a single workflow. What was previously a manual, time-intensive process is now faster, more consistent and easier to scale.

The modular approach reduced delivery risk, enabled rapid validation, and ensured the final solution aligned seamlessly with existing systems - delivering immediate value without disrupting established processes.
